From trial balance to management accounts
A trial balance provides the account balances. Management accounts arrange those balances into a report that helps the reader understand the business’s performance and position.
A repeatable process makes it easier to prepare each period’s report and identify changes that need review.
1. Prepare the source data
Complete your normal period-end review in the accounting system. Export the trial balance to CSV or Excel and upload it to Orsta. Confirm the company, reporting period and whether the figures are period movements or closing balances.
Check that the trial balance includes the accounts you need and that the debit and credit totals agree. For file uploads, keep the account codes and names in the export.
2. Check the imported data
For file uploads, identify the account code, account name and amount columns. Check the treatment of debit and credit signs before using the figures in a report.
In Orsta, you can save the file layout for later uploads. Check it again if the format of the source export changes.
3. Map accounts to reporting headings
Group ledger accounts under the headings used in your management accounts. For example, separate sales accounts may sit under a single turnover heading, while rent and utilities may sit under premises costs.
Keep the mapping consistent between periods. Review new accounts and any changes in classification before completing the report.
4. Assemble the report
Choose the tables, key performance indicators and charts that the reader needs. Keep headings and the order of information consistent so that changes are easy to follow.
In Orsta, you can reuse these components and add commentary in the report builder. Explain material movements and the points that need management attention.
5. Review and circulate
Check the reporting period and agree the report totals back to the source data. Review account classifications, signs, headings and commentary before circulation.
Export the report to PDF or its tables to Excel and review the final output. Keep a copy of the source trial balance with your period-end working papers.
For the next reporting period
Use your saved account mappings and reporting components as the starting point. For file uploads, reuse the saved layout. Review new accounts, update the commentary and repeat the checks.
